Glean

Enterprise AI search and assistant — finds answers across all of your organization's apps and documents.

Paid only

What it does

Glean is an enterprise 'work AI' platform that connects to your company's tools — email, drives, chat, ticketing — and lets staff search and ask questions across everything at once, with permissions respected. It's enterprise-only and paid, sold per seat with a setup process. It's the kind of system the AiGovOps Foundation's governance work is designed for. For most NCW attendees it's aspirational, but worth knowing as the enterprise endpoint of these tools.

Best for, in an NCW context

  • Larger districts: let staff find policies, HR answers, and curriculum docs across every system from one search.
  • Growing SMBs: unify scattered knowledge so new hires can self-serve answers securely.
  • Regional organizations: a governed assistant that respects who is allowed to see what.

How to install & use it

The web link always works — it’s the universal way in. Native apps are optional.

Free, web-only alternative

For individuals and small orgs that can’t buy enterprise Glean, NotebookLM (free, Google Drive only) gives you grounded, cited search across your own documents with no enterprise contract.

The Data Cost of “Free”

Remember: when a tool is free, you’re often paying with your data.

Free AI tools generally train on your prompts, your uploads, your edits, and your usage patterns. That’s the trade. Before pasting in customer info, student records, IEP drafts, or anything else you wouldn’t email to a stranger — flip to a paid tier (which usually offers a “do not train on my data” toggle), use the tool’s enterprise tenant if your org has one, or use a free tier with non-sensitive content only.

The AiGovOps 3 Rules apply here

  • Never paste private data into a free tool
  • Two-eyes rule on outputs
  • Keep the receipts
